COMMUNICATION PLAN Original Issue Date: August 1, 2003 Revision Date: April 7, 2006 Purpose The purpose of this communication plan is to provide guidelines and protocols for the dissemination of information to the members of RMSAWWA, as well as interaction with RMWEA. The following outlines the procedures that any committee or individual member should follow to disseminate information. The attached flowchart summarizes these procedures.
Events and Announcements Any advertisement for a training event, committee meeting, announcement, employment opportunity, conference, etc. should be advertised in Rumbles, E-Rumbles, and on the RMSAWWA Website. The appropriate representative of the Joint Publications Committee should be contacted to advertise in Rumbles or E-Rumbles. The contact information for the Rumbles and E-Rumbles editors is: Jim Tallent, Rumbles Mary Stahl, E-Rumbles mwstahl@boyleengineering.com There are specific formatting requirements for advertising in Rumbles. The requirements for submitting and advertising in Rumbles are attached. The Communications Committee should be contacted to advertise on the RMSAWWA website. There are on-line submission forms for posting requests for employment opportunities and training events. These electronic forms are sent to the Communications Committee where they are reviewed and forwarded to the Webmaster for posting. For questions regarding the RMSAWWA website, contact the Communications Committee Chair: Mary Presecan presecan@LRCWE.com The Education Committee should also be notified of all training events. The contact information for the Chair of the Education Committee is: Ken Lowrey If needed, the Education Committee can help with requesting Training Unit Approval from CECTI (Colorado Environmental Certification and Testing, Incorporated). A copy of the Form for Requesting Training Unit Approval is attached. TEAMS needs to be notified in advance if they are going to be responsible for handling registration, or if credit card registration is offered for the event. The contact information for TEAMS is: Jo Ann Vold or Sylvia Rottman greatevents@GETEAMS.com TEAMS can also help organize an event including site selection, reproduction of event materials, etc. A copy of the recommended event planning timeline is attached. Mass Mailings Committees can utilize mass mailings to inform members including event brochures and registrations, questionnaires, and announcements. Mass mailings can be sent to RMSAWWA and/or RMWEA members through the use of the respective national databases. Once the brochure, questionnaire etc. is developed, it should be submitted to the appropriate Representative of either organization for review, along with a mailing request form, to ensure that it is consistent with RMSAWWA and RMWEA database use policies. The contact information for the RMSAWWA Representative is: Lela Perkins perkinsls@bv.com A copy of the database information request form is attached and allows the requestor to select the intended receivers. A copy of the database information policy can be found in the Joint Policies and Procedures section of the RMSAWWA Officers and Committee Chairs Handbook. The Representative will forward the approved request onto TEAMS for processing. TEAMS should be contacted as early as possible to make arrangements for reproduction, labeling, and mailing. Costs associated with producing mass mailings, including postage, will be charged against the committee’s budget. Mass Emails Committees can utilize mass emails to inform members including event brochures and registrations, questionnaires, and announcements. Mass emails can be sent to RMSAWWA and/or RMWEA members through the use of the databases. Mass email requests should be submitted electronically to the appropriate Representative of either organization for review to ensure that it is consistent with RMSAWWA and RMWEA database use policies. A database information request form is attached and can also be completed electronically on the RMSAWWA website at www.rmsawwa.net/contact.htm. The Representative will process the approved request. |
